Keys to Achieving Cleaning Operation Efficiency

How efficient is your cleaning operation? In an increasingly competitive marketplace Building Service Contractors are looking for ways to improve operational efficiencies in ways that will improve quality of service while also being more cost-efficient. Achieving that objective requires real effort and commitment. What are some of the keys to improving cleaning operation efficiency?
Standardization - A Linchpin to Cleaning Operation Efficiency

Few things promote operational efficiency more than the standardization of processes. Performing cleaning tasks in ways that are effective, consistent, and repeatable is absolutely essential. Lack of standardized processes leads to inconsistent cleaning performance, reduced efficiency, and reduced ability to control costs. Take steps to ensure that your cleaning methods are standardized to the fullest extent possible across all of your service offerings.

Documentation

Many in our industry often overlook the importance of proper documentation. Once cleaning processes have been standardized they should be documented. It is important that the cleaning operation implement a robust document control system that will support the operation's ability to store, access, and revise its documentation in a controlled manner.

Depending on the specific needs of the operation the document control system can be manual or automated. There are several document control software packages available on the market today.

Setting Targets

Where do you want to go and when do you want to get there?  Establishing a few targets and Key Performance Indicators (KPI's) will provide you with the means for tracking your progress towards improved cleaning operation efficiency. Make sure to set targets and KPI's that can be objectively measured and verified.

Establish a routine for the collection and reporting of results (monthly, quarterly, etc.) and make sure that a closed-loop corrective action process is in place to address any problem areas. Promote your targets internally to achieve buy-in across all levels within your operation.

Training

Improving cleaning operation efficiency requires a robust training program. Your standardization of processes will have little impact if you have no training program to instill those processes within your staff. Make sure that your trainers become subject matter experts (SME's) in all aspects of your standardized processes and then give them the tools necessary to pass that knowledge on to your cleaning staff.

Update your training program as needed to stay abreast of changes in your processes.

Management Commitment

This effort will require full commitment and support from your management team. Demonstration of support and acknowledgement of individual and team contributions will go a long way in keeping your employees inspired and motivated.

Provide all required support, direction, and correction to ensure that your overall plan remains on track.
